Live Sessions & Virtual Meeting Integration
EventHex supports virtual and hybrid events with bot-based meeting recording, live streaming, and AI-powered meeting insights through the InstaRecap integration.
Virtual Meeting Setup
Section titled “Virtual Meeting Setup”You can connect sessions to virtual meeting platforms and record them automatically.
Supported Platforms

Add a Virtual Meeting to a Session
Section titled “Add a Virtual Meeting to a Session”- Go to Setup → Sessions.
- Edit the session you want to make virtual.
- In the Virtual Meeting section, paste the meeting URL (Google Meet, Zoom, or Teams link).
- Set the Meeting Start Time and End Time.
- Enable Bot Recording to have the InstaRecap bot join and record automatically.
- Click Save.
Bot-Based Recording
Section titled “Bot-Based Recording”When bot recording is enabled:
- The InstaRecap bot joins your meeting at the scheduled start time.
- It records audio and video throughout the session.
- After the meeting ends, the recording is automatically processed.
- A transcript is generated from the audio.
- AI insights are extracted from the transcript.
The session card shows the recording status:

Live Streaming
Section titled “Live Streaming”Stream your sessions to external platforms for a wider audience:
Stream to YouTube Live
Section titled “Stream to YouTube Live”- Edit the session.
- In the Live Stream section, select YouTube.
- Enter your YouTube Live Stream Key and Stream URL.
- Save the session.
- When the session starts, the stream begins automatically.
Stream to Facebook Live
Section titled “Stream to Facebook Live”- Edit the session.
- In the Live Stream section, select Facebook.
- Enter your Facebook Live Stream Key.
- Save the session.
Custom RTMP
Section titled “Custom RTMP”For other platforms, use custom RTMP:
- Select Custom RTMP.
- Enter the RTMP Server URL and Stream Key.
- Save the session.
AI Meeting Insights (InstaRecap)
Section titled “AI Meeting Insights (InstaRecap)”After a recorded session is processed, AI generates:

Access AI Insights
Section titled “Access AI Insights”- Go to Setup → Sessions.
- Click View Recap on the processed session card.
- Browse the transcript, key takeaways, action items, and speaker timeline.
- Share insights with attendees or export for your records.
Edit Video
Section titled “Edit Video”Click the Edit Video button on a session card to:
- Trim the recording (cut start/end)
- Add chapter markers manually
- Update the video title or description
- Replace with a different recording
Hybrid Event Best Practices
Section titled “Hybrid Event Best Practices”For events with both in-person and virtual attendees:
- Set up the virtual meeting link so remote attendees can join
- Enable bot recording so the session is captured automatically
- Use live streaming to broadcast to a larger audience on YouTube/Facebook
- After the event, share AI insights and recordings with all attendees through the event website
