InstaRecap — The Attendee Experience
This article covers what attendees experience when they use InstaRecap — from logging in through browsing session recaps, reading AI summaries, and sharing content.
How Attendees Access InstaRecap
Section titled “How Attendees Access InstaRecap”Attendees reach InstaRecap at:
https://your-event.eventhex.ai/recapThey can also access it from:
- Event website — InstaRecap link in the navigation menu (if website mode is set to include it)
- Mobile app — InstaRecap section within the Event App
- Email/WhatsApp — direct link from post-event campaigns
- QR codes — printed QR codes at the venue linking to InstaRecap
Login Flow
Section titled “Login Flow”If the organizer has enabled login for InstaRecap:
- Visit
/recap— the app checks login settings. - Redirect to login — attendee enters their mobile number or email.
- OTP verification — enter the one-time password sent to their phone.
- Profile setup — first-time users see a profile page to confirm their details.
- Access granted — the session list loads.
If login is disabled, attendees access the session list directly without authentication.
Session List — The Home Page
Section titled “Session List — The Home Page”The InstaRecap home page shows all event sessions with their recap status.
What Attendees See
Section titled “What Attendees See”- Event banner — branded header image from event settings
- User greeting — “Welcome, [Name]” with avatar (or “Guest” if not logged in)
- Date tabs — horizontal scrollable date chips for multi-day events
- Session cards — each session shows:
- Session title
- Time and duration
- Speaker name(s) and photos
- Stage/track name
- Status badge:
- 🟢 Live — session is currently happening with live transcription
- ✅ Ready — recap is available
- ⏳ Processing — transcription is being generated
- ⚪ Upcoming — session hasn’t started yet
Filtering & Search
Section titled “Filtering & Search”- Filter modal — filter sessions by date, stage, speaker, or session type
- Search — real-time text search with a magnifier icon toggle
- Date selector — switch between event days
Visual Design
Section titled “Visual Design”InstaRecap uses a dark theme (dark gray/near-black background) with glass-effect cards and ambient animated orbs for a modern, polished look.
Session Detail — The Recap View
Section titled “Session Detail — The Recap View”Tap a session to open the full recap. This is where the AI-generated content lives.
Tab Interface
Section titled “Tab Interface”The session detail has a 5-tab interface:

Overview Tab
Section titled “Overview Tab”- Short summary — a concise 2-3 sentence overview of the session
- Detailed summary — longer narrative covering the main topics discussed
- AI-generated content that captures the essence of the session
Summary Tab
Section titled “Summary Tab”- Detailed breakdown of the session content
- Key discussion points organized logically
- Useful for attendees who missed the session or want a refresher
Takeaways Tab
Section titled “Takeaways Tab”- Bullet-point insights — the most important points from the session
- During live sessions, takeaways update in real-time as the AI processes the ongoing transcription
- Each takeaway is actionable and concise
Resources Tab
Section titled “Resources Tab”- Links to slides, handouts, or related materials
- Downloads provided by the speaker or organizer
- External references mentioned during the session
Social Tab
Section titled “Social Tab”- LinkedIn post — AI-generated professional post draft ready to copy and share
- Twitter/X post — shorter format post with key highlights
- One-click copy for easy sharing
- Attendees can customize the text before posting
Interactive Features
Section titled “Interactive Features”- Speaker modal — tap the speaker section to see a slide-down modal with speaker photos, names, designations, and companies
- Swipe navigation — on mobile, swipe left/right to switch between tabs
- Bookmark — save sessions to access later from favorites
Language Translation
Section titled “Language Translation”InstaRecap supports multilingual content:
- Language selector — dropdown at the top of the session detail
- Attendees choose their preferred language
- All content (summary, takeaways, social posts) is translated via AI in real-time
- 100+ languages supported
- Translation happens on-demand when the attendee switches language
Live Session Experience
Section titled “Live Session Experience”During a live session, InstaRecap provides real-time features:
Live Subtitles
Section titled “Live Subtitles”- Live subtitle bar — a persistent overlay showing real-time transcription
- Text appears as the speaker talks, with interim (in-progress) text shown in italics
- Keeps the screen awake using the Wake Lock API so the phone doesn’t sleep during the session
Live Takeaways
Section titled “Live Takeaways”- Takeaways tab updates in real-time with new insights
- Polling interval refreshes every few seconds for fresh content
- Overview and resources also update live
Live Indicator
Section titled “Live Indicator”- Sessions currently live show a prominent LIVE badge
- The session list highlights active sessions so attendees can jump in
Poster Generation
Section titled “Poster Generation”Attendees can create shareable session posters:
- Poster generator modal — creates a branded image summarizing the session
- Includes session title, key takeaway, speaker name, and event branding
- Download as image for sharing on social media
- Accessible from the session detail page
Profile Management
Section titled “Profile Management”Logged-in attendees can manage their profile:
- Profile page (
/recap/profile) — view and edit name, email, photo - Edit profile form — update personal details
- Profile information is used for personalized greetings and social sharing
Navigation
Section titled “Navigation”InstaRecap has its own navigation:
- Bottom navigation bar — persistent at the bottom of the screen:

- Back button — return to session list from detail view
- Date selector — always accessible for switching between event days
